Document Metadata

All documents managed by Projektstruktur have associated properties ("metadata") that describe the document. The design of which properties can be set for a document is determined by the "content type" chosen for it. The content type is selected in the same view as the editing of properties, and a document can only have one content type but can be changed when the document is "checked out".

Filling in Metadata

Accessing the Metadata Page

  • You can access the metadata page of the document by choosing "Edit Properties". This option can be found either in the "Manage" section under the "Files" tab in the menu ribbon or within the document's "ECB menu". The edit properties view also appears when a document is uploaded.

Cell Color Indications

  • White: Editable.

  • Gray: Not editable. This could be because the current document is checked out, you don't have the permission to edit, or the content type does not have these properties.

  • Yellow: Not editable (Updated by another user).

  • Red: Invalid value or value missing.

Table Information

The table may contain cells with, for example, text, single/multiple choice lists, and dates. A cell with a multiple-choice list opens a dialogue when you double-click on it. A date cell displays a calendar when clicked. To get the same value in multiple cells, you can select one cell and drag the cursor to cover several cells. If the entire text is not visible in a column, you can increase the column width by dragging the margin of the header.

Input Steps

  1. Set properties for the documents.

  2. Enter any comments. The comment applies to all documents.

  3. Specify which type of version should be created.

  4. Click on the [Save] button when you're done. Only documents with correct values will be saved.
